About the Role

The KCWS Group Care Clerk is primarily responsible for providing administrative support to the Group Care Coordinator. The Group Care Clerk will ensure the confidential, accurate and timely distribution of all Group Care correspondence and ensure that correspondence logs are maintained daily.

Requirements

SPECIFIC DUTIES AND RESPONSIBILITIES

  • Responsible for answering all incoming calls and providing accurate information to all Group Care clientele and service providers.

  • Responsible to record and distribute all incoming and outgoing correspondence. Responsible for creating documents, forms and logbooks for the Group Care providers.

  • Will assist in organizing Group Care training for all the service providers.

  • Responsible for tracking all payables, ensuring that appropriate payments are made for services rendered.

  • Responsible for representing KCWS in a professional manner when dealing with other programs and outside agencies, including all levels of government.

  • Will develop positive working relationships with Group Care providers and Group Care clientele and child in care.

  • Will ensure that all documents reflect actual time worked and all payments are in line with appropriate rates.

  • Will assist Group Care Coordinator in the maintenance of Group Care work area.

  • Responsible to assist in preparation and ongoing support for meetings, training sessions, workshops etc. including but not limited to meeting room preparation, refreshments etc.

  • Will attend staff and Group Care unit meeting as regularly scheduled.

  • Will draft and update Group Care procedure document as required.

  • Performs other related duties as required.


QUALIFICATIONS:

  • Education: Business Administration Diploma and/or related Diploma

  • Experience: Minimum 2 years’ experience within a group home setting

  • Other requirements: Valid class 5 driver’s license, willingness to travel, willingness to undergo training, complete and submit a clear criminal records check, and CYIM check and sign an Oath of Confidentiality. Complete an employee wellness/training/work plan as required.
